How 1st Needham Market Scout Group looks after your information, our use of cookies and other legal information.
Who we are
1st Needham Market Scout Group is a registered charity in England and Wales (charity number 1038177) and part of The Scout Association. Our address is Needham Market Scout Headquarters, Crown Street, Needham Market, Suffolk IP6 8RY. For any privacy question, email [email protected].
What information we collect and why
- Joining lists and membership: details of young people and their parents or carers, collected through our joining form and stored in Online Scout Manager, so we can offer places, run our sections safely and keep in touch.
- Volunteers: details needed to welcome, support and check adult volunteers, held in Scouts’ membership systems and Online Scout Manager.
- Contact form and email: the details you send us, so we can reply.
- Scout Centre hire: booking contact details and payment records, so we can manage bookings and invoices.
- Group shop: order, delivery and payment details, so we can fulfil orders. Card payments are handled by our payment providers; we never see your full card details.
- Gift Aid: declarations, so we can claim Gift Aid from HMRC.
We only use your information for these purposes. We rely on our legitimate interests in running the Group, on contracts (for hire and shop orders), on legal obligations (for example Gift Aid and safeguarding), and on your consent where we ask for it, such as for photos.
Who we share it with
We never sell your information. We share it only where needed: with The Scout Association, Online Scout Manager, our email, website and payment providers, HMRC for Gift Aid, and authorities where the law or safeguarding requires it.
How long we keep it
We keep information only as long as we need it, in line with The Scout Association’s guidance. Some records, such as financial and safeguarding records, must be kept for longer by law.
Your rights
You can ask to see the information we hold about you, ask us to correct or delete it, or object to how we use it. Email [email protected]. If you’re unhappy with how we’ve handled your information, you can complain to the Information Commissioner’s Office at ico.org.uk.
Photos
We love sharing what our young people get up to, but we only publish photos of members where we have permission, and we never publish a young person’s full name alongside their photo. If you’d like a photo removed, just ask.
Cookies
Our website uses a small number of cookies to work properly and stay secure, for example to remember your shop basket, keep you logged in and protect the site from attacks. We don’t use advertising cookies.
Safeguarding
We follow The Scout Association’s safeguarding policy and Yellow Card code of practice. If you have a concern about a young person, use the Safeguarding concern? link at the top of every page.
